Job Description

Netfor, Inc. is seeking a Help Desk Project Coordinator to support its Help Desk department with project coordination and operational improvement initiatives. This onsite role in Indianapolis partners closely with Help Desk leadership and technical teams to ensure work moves from intake through implementation and closeout with clear documentation, tracking, and follow-through.

The initial focus is on monitoring current Help Desk projects and preparing regular reporting for the Help Desk Manager. Over time, the scope is expected to expand into broader coordination, documentation, and process improvement as the engagement progresses.

Role Overview

Location: Indianapolis, IN (onsite) at NW Indianapolis (Interactive Way)
Job type: Contract
Term: Fixed 6-month contract (may be extended, renewed, or converted at Netfor’s discretion based on business need)
Reporting: Reports directly to the Help Desk Manager; no direct reports
Schedule: Full-time, Monday through Friday, 8:00 a.m. to 5:00 p.m.
Travel: No travel required
Pay: USD 21 to 24 per hourly

What You’ll Do

Coordinate Help Desk projects and operational improvement initiatives from intake through implementation and closeout, including objectives, scope, milestones, dependencies, deliverables, and success criteria.
Maintain project plans and operational documentation such as task boards, schedules, status reports, decision logs, risk and issue logs, and other project materials in approved collaboration and work-management tools.
Track project and operational metrics, identify trends or gaps, and prepare concise updates for Help Desk leadership and stakeholders.
Facilitate project meetings by preparing agendas and materials, documenting decisions and action items, assigning owners, and following up to ensure commitments are completed.
Partner with Help Desk leadership and technical teams to prioritize work, coordinate resources, identify dependencies, and escalate risks related to schedule, scope, resources, or service impact.
Coordinate communications, training, knowledge articles, support procedures, and readiness activities for technology deployments and service changes that affect employees or support teams.
Support process standardization and continuous improvement across ticket handling, escalation, asset coordination, onboarding and offboarding support, documentation, and service delivery workflows.
Assist with vendor coordination, purchase and invoice tracking, project records, and audit-ready documentation while protecting confidential company and employee information.

Success Measures

Provide accurate, up-to-date project tracking and reporting to the Help Desk Manager and Help Desk leadership on schedule.
Ensure meeting decisions and action items are documented and followed through to completion.
Surface and escalate risks and issues in time to avoid schedule, scope, or service impact.
Build increasing ownership of process standardization and improvement work throughout the 6-month term.

Required Qualifications

Strong proficiency in Excel, including the ability to build and maintain trackers, reports, and status summaries.
High attention to detail and strong organizational skills, including comfort managing multiple projects and documentation streams at the same time.
Experience in project coordination, operations coordination, or administrative support is preferred; experience in a help desk, technical support, or IT services environment is a plus.
Familiarity with project or task management and collaboration tools (examples include Jira and ClickUp or similar platforms).
Strong written and verbal communication skills, including the ability to facilitate meetings and prepare clear, concise updates for leadership.
Ability to handle confidential company and employee information with discretion.

Responsibilities

Ability to travel up to 10% of the time
