Job Description

The Data Tracking & IT Support Specialist supports accurate program operations for BKPP’s AmeriCorps initiative by maintaining high-quality CRM records and providing basic technology assistance in both Mac and PC environments.

Location and Schedule

Phoenix, AZ (onsite). This position is primarily in person, and it may include opportunities for remote or work-from-home activities. AmeriCorps members are expected to follow teleservice policies as outlined in their Member Service Agreement.

Compensation and Education

Salary: USD 16 to 21 per hourly. Education: High school diploma or its equivalent.

Key Responsibilities

  • Enter, update, and verify program, donor, partner, student, school, and service-related records in designated systems while maintaining accuracy, completeness, and confidentiality.
  • Support ongoing organization, cleanup, tagging, list management, and reporting needs for CRM platforms, including HubSpot and Virtuous.
  • Assist with setup, organization, and troubleshooting for Mac and PC devices, including basic software access, account setup support, peripheral connections, and escalation of unresolved issues.
  • Respond to assigned technology support requests within two service days and document actions taken, outcomes, and recommended follow-up.
  • Use Microsoft Suite tools to organize files, prepare reports, maintain spreadsheets, support communications, and assist with appropriate use of AI tools or training when approved by the supervisor.
  • Follow BKPP confidentiality and cybersecurity practices and complete assigned digital operations tasks by established deadlines.
  • Support BKPP’s mission and values through daily interactions with students, staff, and community members.
  • Provide one weekly example of how kindness was modeled or encouraged during service.

Technology Stack

Performance Goals

  • Complete assigned data entry tasks within established timelines while maintaining at least 95% accuracy based on supervisor review or system reconciliation.
  • Review and update CRM records weekly, identify duplicate or incomplete records, and complete CRM cleanup or organization projects by agreed-upon deadlines.
  • Respond to assigned technology support requests within two service days and document actions, outcomes, and follow-up recommendations.
  • Maintain organized digital files and reporting materials, follow confidentiality and cybersecurity practices, and complete assigned digital operations tasks by established deadlines.

Requirements

  • Strong attention to detail for accurate data entry, recordkeeping, and documentation.
  • Proficiency with Microsoft Suite, including Outlook, Word, Excel, PowerPoint, Teams, and OneDrive or SharePoint.
  • Experience using, maintaining, or learning CRM systems; experience with HubSpot and/or Virtuous is preferred.
  • Basic experience troubleshooting and setting up Mac and PC devices, software access, and common technology tools.
  • Ability to handle confidential information with professionalism, discretion, and sound judgment.
  • AI experience, training, or willingness to learn approved AI tools is preferred.
  • Basic understanding of data quality standards, including accuracy, consistency, completeness, and preventing duplicate records.
  • Working knowledge of CRM platforms and how organizations use contact, donor, partner, program, and engagement data.
  • General knowledge of Mac and PC operating environments, common office software, file organization, and user support practices.
  • Awareness of confidentiality, cybersecurity, password safety, phishing prevention, and appropriate handling of sensitive information.
  • Ability to manage multiple tasks, prioritize deadlines, and maintain organized records and workflows.
  • Ability to learn new systems, follow written procedures, and ask clarifying questions when information is incomplete.
  • Ability to communicate clearly and kindly with staff, supervisors, AmeriCorps members, and community partners.
  • Ability to maintain confidentiality, use sound judgment, and follow cybersecurity practices when accessing systems or handling sensitive data.
  • At least 17 years of age at commencement of service, or be an out-of-school youth 16 years of age at the commencement of service participating in a program described in § 2522.110(b)(3) or (g) in AmeriCorps Regulations.
  • Meet AmeriCorps education requirements, including obtaining a high school diploma or its equivalent prior to using the education award, or obtaining a waiver through the program’s process based on independent evaluation.
  • Be a citizen, national, or lawful permanent resident alien of the United States.
  • Agree to provide information to establish eligibility and complete a National Service Criminal History Check as outlined in 45 CFR § 2540.200-206 in AmeriCorps Regulations.
  • As an AmeriCorps member, fulfill the minimum weekly hours specified in the Member Service Agreement.

AmeriCorps Service and Duties Overview

This role supports accurate data entry, CRM organization and maintenance, and basic technology support for staff and program operations, including work in HubSpot, Virtuous, Microsoft Suite, and Mac and PC environments. It may also include support for other projects and initiatives as needed, contributing to BKPP’s mission of fostering kindness, education, and community engagement across Arizona.

National Days of Service

AmeriCorps members are required to participate in National Days of Service, including September 11th and Martin Luther King Jr. Day. The program director coordinates volunteer and service opportunities to partake on these days.

Training and Orientation

  • Attend regular training sessions covering topics including education, creative arts, and presentation skills.
  • Training is mandated under 45 CFR § 2520.50, with no more than 20% of aggregate service hours dedicated to education and training activities.
  • Complete a comprehensive orientation arranged by the program director and site supervisor.
  • Ongoing training includes topics available through On3 Learning platforms, including AmeriCorps prohibited and unallowable activities.

Evaluations and Reporting

  • Evaluations include both a midterm and an end-of-term written assessment for full-time members, and an end-of-term written evaluation for less-than-full-time members.
  • Evaluations address completion of required service hours, satisfactory completion of assigned tasks and responsibilities, and other performance criteria communicated at the start of the term.
  • The Program Director encourages one-on-one informal meetings to discuss grievances, celebrate successes, or check in.

Biweekly Timesheet Submission

Members are required to submit biweekly timesheets through OnCorps to document hours and eligibility for in-service and post-service benefits. This timekeeping record is essential for compliance with 2 CFR § 200.430.
