HMIS Help Desk Coordinator
Job Description
Within the Washington State Department of Commerce, the HMIS Help Desk Coordinator provides essential technical support for the HMIS used by the Housing Division. The role focuses on user assistance, data quality, and system administration to support grantees and program staff. The position is based in Olympia, Washington with remote work options and may be located anywhere in the state depending on need.
Responsibilities
- Deliver ongoing technical help to HMIS users through phone, ticketing system, and email, ensuring timely troubleshooting and resolution of system issues.
- Keep users informed about the status and resolution of reported issues.
- Report outages and anomalies promptly to the HMIS team and the user community.
- Investigate and preliminarily analyze user-reported HMIS issues, triaging to the appropriate team if immediate resolution is not possible.
- Create and maintain HMIS procedures, processes, manuals, and resource materials, then disseminate them to all HMIS users.
- Collect data and assist in evaluating HMIS Help Desk services to support continuous process improvements.
- Collaborate with Commerce IT and the HMIS software vendor to resolve system issues and ensure compliance with WaTech regulations.
- Represent the department at local, state, and regional meetings.
- Generate regular reports on data quality, performance, and system usage (including common user errors) to assist the Data and Performance Unit in monitoring HMIS use by grantees.
- Assist with system administration and configuration tasks.
- Support the preparation of HMIS data reports for HUD and other federal or state funders, including required submissions such as Longitudinal Systems Analysis and HUD Systems Performance Measures.
- Help unit staff make decisions about performance and data collection to ensure meaningful use and analysis of HMIS data.

- Work from Anywhere in Washington State
- The position may be located anywhere within Washington State, though occasional travel to a Commerce office or in-state travel to attend events or meetings may be required.
- If selected, you will need to travel to pick up equipment and receive instruction.
